What are DBS Checks?

A Disclosure and Barring Service (DBS) Check is a criminal background check that enables employers and organisations to make more informed recruitment decisions. For instance, DBS checks help to ensure that people applying for safeguarding-critical roles that involve direct contact with children and vulnerable adults are suitable for the role. 

What is the difference between a DBS Check and a CRB Check?

DBS Checks were introduced in December 2012  to replace the CRB Check. The Criminal Records Bureau (CRB) and Independent Safeguarding Authority (ISA) merged to form the Disclosure and Barring Service (DBS). 

In Scotland, criminal background checks are processed and issued by Disclosure Scotland.

What types of job roles require a DBS Check?

The higher level DBS Checks (standard and enhanced) are usually requested for jobs that involve safeguarding (working with vulnerable people) or licensing (e.g. alcohol or weapons), or in some cases to apply for travel visas.

Basic DBS Checks are the lowest level of criminal background check in the UK and can be requested for any type of job. Any individual aged 16 or over can apply for a Basic DBS Check themselves.

What details are revealed on the different levels of DBS Check?

The Basic DBS Check reveals any unspent convictions and conditional cautions only.

The Standard DBS Check reveals any spent and unspent convictions, warnings, cautions, and reprimands.

The Enhanced DBS Check reveals the same as the Standard DBS Check, with any additional relevant notes that are held on file by the police.

If the role is considered to be a “regulated activity” (involves direct, frequent work with children or vulnerable adults), then an Enhanced DBS Check and barred list check will be needed. A barred list check involves checking the applicant’s details against a list of people who are banned from working with children or vulnerable adults due to safeguarding issues.

How does the online application process work?

You will submit your application through an online portal. If there are any omissions or mistakes picked up by the computer system, you will be asked to address them. Our team of professionals will check the application too and request any additional information or changes that may be needed.

 

In some cases, your ID documents will need to be verified by a “responsible person” which we will assist you with. Once the application form is complete and any ID checks have been completed, we will submit the form to the DBS and notify you with a reference number. 

How long does it take to get the results?

You will usually receive the results of the check within 48 hours of submitting your application and it will be shown on your dashboard. We will also email you to notify you. The DBS Certificate will then be issued by the DBS and this may take up to two weeks to arrive by post.

Can I track my application?

Yes, you can track your application easily by logging into the dashboard and checking the status. Alternatively, you can email or call us to ask for an update.

How do I pay for the DBS Check application?

We accept a variety of payment methods, including debit card, credit card, and PayPal payment.

Who can qualify as a “responsible person” to check ID?

A responsible person who can check IDs must be a person who:

  • is unrelated and uninvolved in a personal relationship with the applicant
  • has known you for longer than a 12 month period
  • does not reside at the same address as the applicant
  • is not a member of the employer or organisation you are applying to work with.

Can I get a DBS Check if I was born outside of the UK or lived outside of the UK for an extended period?

Yes, you can get a DBS Check if you are a foreign national or lived abroad, but you will need to supply extra documentation to support your application.

What happens if my application is delayed?

Checksandprocessing.co.uk bears no responsibility for any delays caused by the DBS or umbrella body, as they are outside of our direct control. If you feel that the delay has been caused by our system or staff, then you can request a refund by emailing or calling us.
